Bonacia Ltd Data Protection Policy for Recruitment


Who is the data controller?


Bonacia Ltd, Remus House, Coltsfoot Drive, Woodston, Peterborough, PE2 9BF

Data collected through our recruitment process will be held within the HR department of Bonacia Ltd and may be shared to other parties within the company for example Managers and Directors throughout the recruitment process.


What information do you collect?


  • Name
  • Location
  • Previous working experience
  • Career intentions
  • References (with permission from candidates)
  • Information on candidates skills and qualifications
  • Interview notes (if applicable)


Why do you need my information?


Information is gathered through the recruitment process to assess a candidates’ level of capability to fulfil the job role they have applied for.


How do you collect this information?


Candidates can send their personal curriculum vitae (CV) through the following channels;

  • Email
  • Post
  • Hand delivered
  • Through secure job boards where vacancies are advertised
  • Through recruitment agencies if applicable

With certain vacancies within the company potential candidates may also be asked to complete an application form, any application forms used by Bonacia Ltd will only include questions specific to the relevant vacancy.

Bonacia Ltd may also use public sources to gather additional information on a penitential candidate such as a public Linked In profile. Bonacia Ltd does not use vetting as part of their recruitment process.


Who will my information be shared with?


Information gathered through the recruitment process may be shared with relevant employees’ of Bonacia Ltd such as department managers or directors. No information will be made public to employees who do not have a valid need for knowing any of the information gathered.

Bonacia Ltd do not share information on potential candidates with any third party companies.


Can I request for my data/information to be removed?


If you have been unsuccessful in securing employment with Bonacia Ltd and you would like all data/information relating to yourself to be removed you must make your request in writing to HR Manager, Bonacia Ltd, Remus House, Coltsfoot Drive, Peterborough, PE2 9BF. All information will be deleted within 28 days of your request being received.


Will my information be verified?


Bonacia Ltd will obtain references with permission from successful candidates once a job offer has been made. If a job offer is conditional of suitable references you will be made aware of this at the offer stage. Bonacia Ltd may also request copies of training certificates at the offer stage if applicable.

If a candidate’s information is verified and there are discrepancies the candidate will have the opportunity to make representations.


How is my information kept secure?


All electronically gathered data is stored securely on our servers. All Bonacia Human Resources data is stored a private drive which is only accessible by authorised members of staff (HR & Directors).

Paper copies of candidate CVs, interview notes, application forms and reference are stored in a locked filing cabinet within the Human Resources office which is only able to be accessed by authorised members of staff.

If candidates are sharing their information and data through public job boards such as Indeed they will need to refer to the websites Data Protection Policy for additional information on how these suites keep data secure.


How long is my data kept for?


Successful candidates


Data and information gathered through the recruitment process on an individual who becomes an employee of Bonacia Ltd will have their information stored through the full length of their employment with Bonacia.


Unsuccessful candidates


If candidates sends their personal curriculum vitae to Bonacia Ltd with reference to a vacancy and they are not selected for interview their CV will be held for 3 months and may be reviewed for future suitable roles. After a period of 3 months their CV will be shredded and disposed of, all electronically stored copies will also be removed from Bonacia’s servers.

If a potential candidate attends an interview with Bonacia Ltd but are not successful in securing the position their CV, completed application form (if applicable) and interview notes will be kept on file for 6 months. These will be stored in a secure filing cabinet within the HR office.


Can I request copies of my data/information you hold?


Yes, you can make a subject access request in writing to HR Manager, Bonacia Ltd, Remus House, Coltsfoot Drive, Peterborough, PE2 9BF. There will be a fee of £10 for all subject access requests.

Can I request for my data/information to be removed?
